Qualified candidate will provide extensive administrative support to a team or department and will act as coordinator of departmental projects and CDMO client visits.  The candidate must have strong organizational skills, the ability to plan and prioritize, and the ability to effectively coordinate with other teams and departments.

 

ESSENTIAL FUNCTIONS

•    Manage Development Services (DVS) department calendars as well as CDMO calendar for 300P.
•    Schedule meetings and conference calls as requested; supervise the preparation of materials for meetings as appropriate; coordinate and communicate information in support of DVS and CDMO activities at 300P.
•    Act as the Gaithersburg 300P site liaison with other Executives, Office Managers, and team members from other sites.
•    Ensure conference rooms, break rooms, and common areas are always clean and well stocked through coordination with contracted porter(s); order and arrange all company and CDMO client meals.
•    Manage temporary office space assignments for visiting Emergent team members and external customers based upon business needs.
•    Manage office related supply distribution supporting the CDMO BU at 300P.
•    Support routing electronic document signatures (e.g. AdobeSign) for DVS and CDMO.
•    Manage office related tasks for the effective operations of copiers and printers in conjunction with IT.
•    Make travel arrangements for DVS department and process expense reports as required.
•    Gather and submit the necessary paperwork for departmental contracts, purchase orders, invoices, etc.
•    Track monthly expenses against approved contract amounts.
•    Assist in creating internal and external reports for the department.
•    Provide weekly or monthly utilization reports (SAP) supporting R&D and CDMO.
•    Maintain employee memberships and contact lists.
•    Provide general administrative support for 300P.
•    Manage department SharePoint site and Team Channel.
•    Coordinate and manage facility visits.
•    Support PMO team with Submitting WAM, WBS request forms.

 

MINIMUM EDUCATION, EXPERIENCE, SKILLS
•    Associate Degree plus 3-5+ years of related experience required
•    Strong proficiency in MS Outlook, PowerPoint, Word, Teams, and Excel
•    Excellent interpersonal skills and the ability to work well with all levels of management
•    Must possess excellent time-management skills
•    Ability to work independently and to identify and resolve problems
