I: Job Summary 
The Associate Specialist, Facilities Resource Planning provides Quality Systems expertise and support in Veeva and SAP to ensure department quality compliance. Perform administrative duties for the Facilities Maintenance department to ensure effective maintenance of data associated with the Preventative Maintenance program. 
 
II: Responsibilities 

•    Serves as the principal administrative contact within the Facilities department and the customer departments served by Facilities and ensures prompt, efficient and quality service.
•    Perform all Quality System functions in SAP/Veeva including:
o    Deviations: the ability to initiate, investigate root cause analysis, assess impact, and implement durable corrective and preventive actions to prevent future deviating events with the same or similar root cause(s).
o    CAPA System: the ability to utilize this Quality System to identify and implement continuous improvement corrective and preventive actions for system level improvements.
o    Change Control System: the ability to identify and initiate changes through collaborative efforts with Quality Assurance and various departments in response to deviations, CAPA’s and departmental continuous improvement projects.
o    Procedure Revisions: the ability to create new procedures and revise existing procedures including Preventive Maintenance, Calibration, as well as performing Biennial reviews of existing procedures.
o    Audit Responses: the ability to investigate thorough root cause analysis, assess impact, and implement durable corrective and preventive actions to prevent future internal and external audit observations with the same or similar root cause(s).
•    Maintenance of SAP master data pertaining to equipment, facility and utilities.
•    Commissioning and decommissioning of equipment including preparation of finance disposal documents.
•    Develop, review, and track procedure/methods/task list revision to ensure compliant and technically sound maintenance operations.
•    Responsible for Maintenance Notifications and Corrective Work Order Tracking
•    Facilitate planning/scheduling meetings with area owners and ensure maintenance plans and task lists are built within SAP to support the execution of preventative maintenance activities. 
•    Create, modify and track internal and corporate Facilities metrics
•    Assists with continuous improvement projects within the department 
•    Prepare/create documents, reports and presentations
•    Trains and provides technical support or other resources to staff as required to support operations and Facilities initiatives.
•    Other projects and administrative duties as assigned

III: Education, Experience & Skills

•    Completion of Grade 12 from an accredited educational institution.  Completion of a post secondary degree in a related field is an asset.
•    3+ years’ of experience within the Pharmaceutical / Biotech industry. 
•    1+ year of experience within the SAP Plant Maintenance Module.
•    Proficiency in Microsoft Word, with a focus on Excel. 
•    Excellent organization and communication skills. 
•    Must have the ability to multi-task and coordinate workload by priority. 
•    Must be customer service and quality oriented.
